Tenant Document Handover Checklist England
This checklist applies to private rented homes in England. It is practical compliance operations guidance, not legal advice.
Document handover is not just sending attachments. Keep a dated record of what was provided, which version was used, who received it, and how delivery can be proved later.
Key handover requirement
Before or at the start of the tenancy, provide the required documents for the property and tenancy, then store proof of delivery with the property record.
Quick Answer
For England tenancies, prepare written tenancy information, EPC evidence, gas safety information where relevant, deposit protection information if a deposit is taken, and Right to Rent check evidence.
Since 1 May 2026, the document pack may also need to reflect Renters' Rights Act changes, including the official Information Sheet for applicable existing tenancies and written key terms for relevant agreements.
Simple Compliance Checklist
- Prepare written tenancy terms or key written information for the tenant.
- Provide the EPC and gas safety record where relevant to the property.
- Complete Right to Rent checks for adult occupiers where required and retain the evidence securely.
- Give deposit prescribed information within 30 days if you take a tenancy deposit.
- Provide the Renters' Rights Act Information Sheet where it applies to the tenancy.
- Keep proof of delivery, including email records, portal logs, signatures, or dated handover notes.
Evidence To Keep
- Copy of the tenancy agreement or written key terms.
- EPC and gas safety record where relevant.
- Right to Rent check result and follow-up date if time-limited.
- Deposit protection certificate and prescribed information.
- Renters' Rights Act Information Sheet delivery evidence where applicable.
- Inventory, meter readings, keys record, and move-in condition photos.
- Email receipts, signed acknowledgements, or portal activity showing delivery.
Common Mistakes
Sending Links Instead Of Required Files
For the Renters' Rights Act Information Sheet, GOV.UK says sending only a link to the PDF is not valid. Use the exact PDF where required.
Treating Right To Rent As A Tenant Handover Document
Right to Rent is mainly evidence you retain. Do not rely on returning originals without keeping your required check record.
Forgetting Deposit Documents
Deposit protection details and prescribed information are triggered by receiving a tenancy deposit, not by move-in day.
Not Recording The Version Sent
Keep the exact version of documents supplied so you can show what the tenant received.

When Do I Give Deposit Prescribed Information?
Within 30 days of receiving the tenancy deposit.
Should I Keep A Handover Checklist?
Yes. A dated checklist helps show what was provided, when it was provided, and how delivery was evidenced.
